Job Description

The University of Nevada, Reno School of Medicine is recruiting for an Administrative Assistant 2 – Surgery Department Assistant to coordinate the department of surgery medical student clinical educational experiences.

Responsibilities:
• Create rotation schedules.

• Plan and facilitate clerkship orientations including compiling and updating orientation packets, and maintaining the clerkship library; Create and maintain the Educational Calendar and set up associated sessions.

• Assist students with completion of hospital/office credentialing documents and associated training.

• Coordinate labs, SIM Center SP presentations, use or purchase of equipment as needed.

• Maintain electives descriptions/online catalog.

• Coordinate the following:
– Elective preceptors’ scheduling and student limit preferences and requirements
- 4th-year medical student electives scheduling for Surgery and Selectives
- Visiting student electives scheduling and facilitate the evaluation process with their university

• Prepare and process student travel requests per policy.

• Create and consistently maintain confidential files for each medical student.

• Coordinate with Office for Community Faculty (OCF) and OME to create and maintain Adjunct Clinical Faculty Appointment Contracts for all community physicians that work with medical students.

• Communicate with OME Operations Manager to request new affiliation agreements or to have existing renewed, as they are identified.

• Proctor National Board of Medical Examiners (NBME) Shelf examinations at the end of each clerkship rotation.

• Manage evaluations for clerkships and electives in surgery. Ensure final grades are posted by deadline.

• Compile mid-course and final grade information. Prepare and distribute semi-annual and annual student evaluation summary reports.

• Collect and collate end of clerkship paperwork, on line log data, virtual cases data etc.

• Aid in scheduling and/or proctoring of objective structured clinical exams (OSCEs) or other examinations (oral exams).

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Required Qualifications

Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience.

Additional Experience Requirements:
- This position requires intermediate experience using Microsoft Office (Word, Excel, PowerPoint, Access, etc).

- This position requires having a valid driver’s license at time of appointment and as a condition of continued employment.

Preferred Qualifications

-Program or project coordination experience.

-Experience communicating with a wide variety of people in a professional office environment.
